Information we collect
NEWSROOM HQ collects account and profile information, organization membership and settings, content supplied or created by authorized users, usage and security records, and technical information required to operate the service.
Facebook and Instagram data
When an organization connects Facebook or Instagram, NEWSROOM HQ receives the Meta account identifiers, organization-owned Pages or professional Instagram destinations selected by an authorized administrator, granted permissions, and authorization tokens required to publish. This data is used only to connect organization-owned social accounts and publish content requested by authorized organization members.
YouTube and Google data
When an organization Admin connects a YouTube channel, NEWSROOM HQ requests only read-only channel identification and video upload permission through Google's YouTube Data API (the "youtube.readonly" and "youtube.upload" scopes). We receive the connected channel's ID, name, and, if available, its custom URL and profile image, solely to identify the connected channel and to upload videos that an authorized organization member requests be published. NEWSROOM HQ does not access YouTube analytics, comments, subscriptions, Gmail, Google Drive, or any other Google product, and never uploads or modifies a video without a specific publishing request from an authorized user. Google access and refresh tokens are encrypted on the server, are never displayed to team members or exposed in browser responses, and are used only for authorized server-side publishing and upload-status checks. An organization Admin can disconnect a YouTube channel at any time from Settings, which revokes NEWSROOM HQ's access with Google immediately.
Token security
Meta access and refresh tokens are encrypted on the server. Tokens are never displayed to team members or exposed in browser responses. Access is limited to authorized server-side publishing operations.
Sharing and sales
NEWSROOM HQ does not sell personal data. Information is shared only with service providers needed to operate the product, fulfill an authorized publishing request, meet legal obligations, or protect the service and its users.
Retention and deletion
We retain information only as needed to operate NEWSROOM HQ, meet contractual and legal obligations, and protect system security. To request deletion, follow the User Data Deletion instructions or contact contact@newsroomhq.org.
